At Optical Image Technology, Inc. A description of each of the departments at OIT, their goals, and an overview of their services are provided below. Sales Department

The goal of the Sales department is to inform customers and prospects about software products in the DocFinity Suite and to work with them to design a solution that suits their needs. The Sales staff endeavors to:

  • understand the broader and specific needs of the industries we serve.
  • understand the unique business needs of prospects and customers.
  • communicate the success stories of customers to their peers within the same or similar markets so that they may be used as references to help them make informed choices.
  • assist customers and prospects in making informed decisions as they evaluate products.
  • ensure quality control by checking on customers regularly and helping them reassess their changing product needs as their businesses grow.

Our Sales department’s main goal is to fulfill customer product and service needs.

Professional Services Department

The goal of the Professional Services department at OIT is to provide highly specialized services that meet the unique business process management and document management needs of individual organizations and businesses. These consulting services go beyond the assistance offered by our dedicated support staff, which works with OIT customers. The Professional Services team expands upon the support efforts by offering services such as:

  • Business Process Management (BPM), Business Process Innovation (BPI), and operations consulting with qualified consultants available for specific customer needs.
  • detailed needs analyses and assessments.
  • custom designs and software solutions.
  • custom feature enhancements.
  • software integrations.
  • documentation of site-specific installations.
  • in-depth training on DocFinity products and upgrades.
  • disaster recovery planning and preparation.

Our Professional Services department is designed to assist companies with specialized services that address companies’ changing needs as they grow.

Marketing and Public Relations Department

The goal of the Marketing and Public Relations department at OIT is to establish and maintain effective written and oral communications about the company, both internally and externally. This includes broadening market awareness of OIT’s DocFinity Suite of products and services; conducting and sharing the results of cross-industry and market-specific market research: communicating company information that is in the customer’s/prospect’s interest as appropriate; and keeping the other departments informed of important developments and communications from our clients, within the industry as a whole, and within varied vertical markets.

The Marketing and Public Relations staff are responsible for:

  • client/customer communication about new developments and upcoming events through press releases, newsletters, and announcements.
  • organizing a successful annual User Conference for customers, which encourages the exchange of industry and product knowledge and ideas.
  • conducting cross-industry and vertical market research.
  • researching, booking, and coordinating all aspects of industry trade shows.
  • broadening market awareness of the DocFinity Suite of software and the benefits of electronic document management software (EDMS).
  • creating effective Web and print materials to communicate product, service, and industry information to our varied markets and customers.
  • communicating with and learning from the associations of which we are members, with the goal of serving customer needs at the highest level possible.
  • working closely with the Sales and Support staff to understand our customers and serve them at the highest level possible.
  • informing the media of company news and events that are of interest to the public.
  • maintaining effective customer and staff recognition programs.

The Marketing and Public Relations department strives to ensure clear and timely communication of important information to all audiences.

Technical Support Department

The goal of the Technical Support department at OIT is to assist and support our customers as they implement and utilize our extensive DocFinity Suite of document management products. We empower our customers to achieve a higher level of business performance, aiding them by:

  • answering technical questions about DocFinity products.
  • assisting customers with phone consultations during the implementation phase of new software installations.
  • troubleshooting and problem-solving for customers regarding their unique installations and integrations with DocFinity software.
  • communicating with Testing and Development based on customer input.
  • processing requests for custom features.
  • notifying Professional Services of custom requests that are beyond the scope of Technical Support and may require longer-term consulting services.

Our Technical Support department aims to build strong relationships with our new and existing customers, maintaining two-way communication that works toward 100 percent customer satisfaction.

Development and Testing Departments

The Development and Testing teams work hand-in-hand with the goal of providing top-quality products that improve business performance. These teams are responsible for:

  • developing products that respond to market needs.
  • researching and responding to industry changes in available and preferred software development tools.
  • designing and developing products and enhancements that are responsive to customer needs.
  • creating thorough documentation for users on each of the DocFinity products.
  • testing thoroughly each of the DocFinity products, features, and enhancements.
  • making information about current product issues available to customers.

The Development and Testing departments aim to create and deliver innovative solutions that meet real business needs.

Technical Writing Department

The goal of the Technical Writing department is to provide customers with the documentation they need to take full advantage of the DocFinity Suite, from User Guides to Troubleshooting Tips. The Technical Writing department also provides OIT staff with product documentation of all stripes, to better support customers. The Technical Writing department:

  • Distributes documentation through the DocFinity Documentation Portal and Knowledge Base
  • Regularly updates and revises documentation as products evolve
  • Adds new documentation as the DocFinity Suite grows
  • Provides in-depth release notes when new versions of the DocFinity Suite are released

The Technical Writing department strives to provide the most useful documentation in the most timely manner.
