Using EDM to Protect Your Business...

Don't let your documents become casualties.

October 1st marks the day that Bonnie Parker of the infamous Bonnie and Clyde duo was born. As we think about the burglaries, jail breaks, and murders in which Bonnie Parker participated, it might be a good time to consider what you are doing to ensure the safety and security of your important business documents.

While it’s highly unlikely that your business documents will be involved in any type of Bonnie and Clyde escapades, document security—or a lack thereof—should be one of your top concerns. Security risks to your documents could present themselves in a variety of ways, including:

  • inappropriate access
  • inadvertent file deletion
  • document alteration
  • inconsistent filing
  • employee turnover
  • natural disasters

Fortunately, you don’t need to take the law into your own hands. As explained in the article Protect Your Business Information: Prevent Document Deterioration, Misuse and Loss with EDM, “Well-laid plans, smart hiring decisions, and regular communications minimize risk, but they don’t guarantee document security. Where 100% document control is hindered by human limitations, web-based electronic document management (EDM) excels – governing, observing, and tracking file use, 24/7.”

In the video series put together by AIIM, Top 10 Excuses for Not Considering Document Management This Year - (Excuse #8. Information security just isn't at the top of our list), the authors humorously attempt to justify inadequate security measures, stating, “Yes, we lock the doors at night. And yes, we keep the file cabinets locked. I think that’s about all we need to do to keep our information safe.”

The bottom line:

While you might think you’re doing all you need to do to keep your documents safe, it wouldn’t hurt to take a second look. Even the most innocuous risks to your business documents can lead to plenty of trouble for your organization.
