Change is Good!

6 Tips for executing a successful ECM change management plan.

Over the past 25 years, we've steered clear of the so called "institutional cemetery" by embracing change. As you're seeing today, we've restaged the DocFinity corporate brand - a change that reflects our growth and evolution of the recently upgraded ECM and BPM/workflow software. We know, as you probably do, that change is necessary to keep ahead in your industry. But it's more than just buying a solution or simply declaring change - it's how you execute the process that determines how successful you'll be.

At our recent 2011 DocFinity User Conference, Loyola University Chicago (a multi-campus, international institution) shared their ECM/BPM implementation experience and best practice tips on change management - methods that have replaced any anxiety regarding change with excitement and anticipation. It has resulted in 19 departments successfully deploying the ECM and BPM software in just three years. And they credit their success to the change management plan.

The success is based on a combination of people, processes, and technology. These were several key take-aways:

  1. Sponsorship - Get the right people involved. Gain support from those who will help to push the project along, such as the CFO and others who can authorize the change for the company's overall benefit.
  2. Approach each department individually - ECM is not a one size fits all solution. Don't force technology on those that aren't ready for it. Rather, start with what the department can handle and build from there.
  3. Declare a decision maker - Appoint one person in each department to make the calls. Too many chiefs will create chaos and hinder the implementation and adoption processes.
  4. Create a communication plan - Keep the lines of communication open and create a timeline for everything from the needs assessment, process evaluations, implementation and evaluations.
  5. Re-evaluate periodically - Keep in touch with the department project leader. As they're ready, add functionality such as workflow, eForms, and/or other advancements. Also, review processes to see if streamlining them will gain efficiencies.
  6. Work with your vendor - Let your account rep know what you're doing. They may have tips or be able to connect you with other clients solving similar challenges.
