Make sure your BPM project is designed to succeed from the start.
"I call a do-over!" Remember saying that when you were a kid? Haven’t there been times at work when you wished you could say that? Maybe it was after you sent an email out with a typo. Who knew what a difference an “s” instead of a “p” could make? "I call a do-over!" Maybe it was after working for hours on your latest report, too engrossed to remember to hit save, and the power went out. "I call a do-over!"
Or maybe it was after you started implementing a workflow system only to find out that it wasn’t going as well as you thought it would. You only want to implement a workflow/BPM system once, right? Of course! Make sure your hard work pays off. Here are four points to keep in mind so that your BPM/workflow project is a success from the start.
- Commitment. Give proper attention to your workflow project. Examine your processes, then refine and automate them. Automating your existing processes without review could result in the same inefficient processes. Revisit the process down the road and re-engineer any flaws to help your company run smarter and more effectively.
- Knowledgeable Staff. Make sure you pull the right resources into the project. You need trained technical staff, as well as business process staff, working together to get the system configured properly to meet your needs from the start.
- Project Management. You want an effective project manager to spearhead the project to ensure your project succeeds. This person will coordinate all resources involved and oversee the project so that no detail is missed.
- Authority. As with any successful project, you’ll need to establish an authority structure within the team to keep the project moving. But, you’ll also need to appoint an authority of the team. This is vital, as you will likely encounter resistance to change as you improve upon your company’s existing processes. The team’s authority will help you move forward by communicating with staff so they understand and can see the benefits.
The Bottom Line:
Unfortunately, we can’t often call a “do-over” in business. In order to make your workflow project successful, you have to dedicate the time and resources to set your project up right the first time. Executed correctly, you’ll find ease in the implementation process and see a quick return on investment.
