D’oh!
Use BPM and Workflow to avoid little errors that can have big consequences
Have you ever been on your way to work and suddenly remembered that you had an appointment on the other side of town…that started fifteen minutes ago? Ever put your utility bill in the mail, only to realize a week later that you forgot to include the check? Or maybe you took the time to prepare a really nice lunch for yourself and then left it sitting on your kitchen counter. D’oh!
Sure, you’ll probably be able to reschedule your appointment, send the check with a late payment, and go out for lunch. But, it would be so nice if there were a way to eliminate the potential for error and make everything run smoothly. Imagine what you could accomplish if you could standardize and automate your routine processes so that everything got done on time, with all of the proper information included.
Luckily for your organization (where even a tiny “D’oh!” could have major consequences), you can. It’s called business process management (BPM) or workflow.
The article Look – No Hands! Using BPM and Workflow to Drive Work Efficiently Across the Enterprise explains, “…when your BPM and workflow systems are up and running, the risk of miscalculation disappears. Your processes follow your established rules every time, without fail.”
The article also provides a list of benefits of BPM and workflow that go beyond streamlining procedures and shortening turnaround. These include the ability to:
- Redistribute work based on employee absenteeism—sharing work equally, allocating it to the person with the emptiest Inbox, or by job position;
- Change organizational hierarchies and roles without affecting the flow of work, since BPM adjusts immediately to new information;
- Change spontaneously how work is processed without retraining staff;
- Predict and react to bottlenecks in work—adjusting hierarchies, tasks, and rules to prevent slowdowns;
- Extract data from multiple sources into one at prescheduled intervals or in real time for easier, smarter decision making.

Bottom line:
Automating processes with BPM and workflow ensures that processes are handled the same way every time so there is no room for errors or misunderstandings. Just make sure you choose a solution that also allows the system to handle exceptions to the rules. A flexible, extensible BPM system will provide the consistency we all need.
