No Regrets with ECM...

Tips for choosing a document management system that is more than just a fad.

There have been many fads over the decades: some that have stood the test of time, and others that we'd probably rather forget. Do you have any trends that you followed at some point in your life and now regret? In the interest of full disclosure, we’ll admit that you’re not alone in the fashion faux pas department.

In contrast to your 80’s hairstyle or the fashion statements you made in high school, you’ll never regret your decision to implement a document management/ECM system…as long as you choose the right one for your needs.

As explained in the article Compliance, Security, and Cost-efficient Management: ECM Rises to the Challenge, “ECM is a mature technology,” and “Since the palette of ECM tools varies from one solution to the next, it’s vital to know what you’re looking for.”

The article recommends specific things to look for that will help make your ECM system an integrated part of your organization far into the future. Some essential features include:

  • Web-based architecture that lets authorized IT staff administer the system remotely, 24/7.
  • A system that allows authorized persons to access, view, search, process, and manage requests for information, wherever and whenever it’s needed.
  • Software that is centrally configured, administered, and supported.
  • A business process management (BPM) or workflow component.
  • The ability to lock down document types and specific document sections by groups of users (such as HR managers) and job role (such as directors or department managers).
  • Functionality fully underwritten in web services so you can take full advantage of its features within your users’ familiar business software.
  • A central log-on for all work, rather than a requirement to log in and out of each function to start scanning, send emails, launch processes, etc.

The bottom line:

ECM isn’t simply a passing fad. It’s a mature technology that can offer a wide range of benefits for your organization. You won’t have any regrets about your ECM system if you choose one that can roll along with the punches as your organization grows and changes.
