Your ECM system can connect with databases and other sources to extract documents and data for tasks, measurement, and management. Or it can disconnect you from all that. Connect or disconnect? Choose Wisely.

Happy New Year!

Start checking off your resolution list with ECM

Ah, the New Year resolution list. Every January we identify ways to better ourselves over the next 12 months. Some are easily attainable (eat more vegetables), some get swept under the carpet (clean out the attic), and others are merely a pipe dream (win the lottery and move to Tahiti).

You may think you'd have a completely different set of resolutions for your job or your company. But the most popular resolutions can actually apply to the work environment. And ECM can address many of them.

  • Save more money – The ROI for implementing ECM speaks for itself. Most companies recover their costs in as little as 3 years and continue to save for the foreseeable future. And with subscription, hosting, and SaaS models available, companies have a number of options to begin saving money.
  • Lose 10 lbs – Get rid of filing cabinets, in boxes that clutter your desk, or just paper in general. A laboratory that once printed reports of 40,000 sheets, or 8 cases of paper, a day was able to reduce their paper costs by $400,000 a year using ECM to find and correct discrepancies on insurance filing forms. Imagine what you could save just by reducing paper use.
  • Consume less junk – Starting in the mailroom, you can utilize ECM to expedite your processes by scanning in accounting and client-based information so that the right information gets to the right person for faster processing, positively affecting your bottom line and customer relations.
  • Go green – It's obvious that your paper processes will be significantly reduced. What may not be obvious is that with ECM you can more effectively offer self-service and paperless options for your clients. And by choosing a SaaS or hosted solution, you'll utilize existing hardware in efficiently built and run environments.
  • Be charitable – Give, give, give. Using BPM/workflow, you'll knowledgeably distribute work according to need, feeding each queue appropriately. Workflow also expedites the sharing of information, approval processes, and keeps work in the right hands. It's a helping hand where needed.
  • Manage your stress – Relax! When it comes to complying with regulations and keeping private information private, ECM software has you covered. Not only can you identify who can see what and what they can do with that information, when combined with Records Management, it also defines when information should be purged – so you keep what you need and dispose of what you don't.
  • Prepare an emergency kit – "Save and save often." Take this well known saying a step further when it comes to your company and deploy a disaster recovery plan using an ECM solution that allows you to back up your information as often as necessary to another secure location.
  • Stay informed – A good ECM vendor will not only update you on new products and uses of the product, but will also provide a customer community for you to learn from. Find out more about your vendor's customer help offerings — or make sure the vendor you're researching has a community to get involved with.

Bottom line:

Make 2012 the most successful yet! Set goals for your company and start exploring the possibilities of making these a reality with ECM and BPM technology.
