Hierarchical Storage Manager (HSM): Electronic Records Management

Stores, moves, deletes, and backs up records and documents that meet administrator-defined criteria

HOW IT WORKS

HSM software moves, backs up, and deletes files based on age, category, or any other criteria that you specify. When a drive is full, HSM can automatically move to a backup drive. It intelligently processes requests to retrieve, store, and/or move information from multiple storage devices. HSM processes all requests in a logical order. As a result, the mounting of platters is reduced and efficiency is greatly enhanced.

DocFinity HSM finds objects that are stored anywhere in a system—even in remote locations. If you request an object, the local DocFinity HSM searches its repository for the information. If it doesn’t have the object, it can query remote DocFinity HSM locations to find the object. The remote DocFinity HSM sends the object to the local DocFinity HSM, where it is cached. But DocFinity HSM does not merely handle remote objects—storage libraries can be separated with different DocFinity HSM modules in order to fine-tune performance for mixed-media environments. DocFinity HSM can even be used to delete objects in accordance with a records management plan. And because it’s table-based, you can even write external rules to manage objects. HSM will automatically handle the objects across the repository.

You can specify an unlimited number of drive letters for DocFinity HSM to search during retrievals. It can recognize any storage device appearing as a drive letter or UNC to your PC. It does not matter if it is an optical disk, CD-ROM, DVD, optical, CD-ROM jukebox, or magnetic storage; it can even be a combination of these devices.

HSM is often used for off-site live backups and full-redundancy of data in separate locations. Data backup can be set to take place automatically either on site or at a remote site connected by a wide area network. You specify the drive and platter to be used for backup and the system will simultaneously write a copy of the data to the drive when it writes to the primary storage drive and platter. Never again will you have to worry about losing data in the case of a disaster.

DocFinity HSM seamlessly integrates with all products in the DocFinity suite and was specifically designed to accept requests directly from DocFinity Print/Fax Server to maximize efficiency. It can even trigger a workflow.

“The ability to electronically file and quickly retrieve an electronic document has allowed us to be more efficient and to better serve our customers and vendors. It has helped us to do a better job internally because we are not fighting that paper battle all of the time.”
