DocFinity Indexing

Indexing is one of the most vital components to a successful ECM implementation. While conversations about ECM mostly revolve around documents, data is what drives these systems. It controls how you search and secure your documents, as well as how you automate and set retention policies for them.

The indexing process has two components that are of equal importance: planning and execution. Taking shortcuts with this part of the project will only hurt you in the long run. Setting up a thorough and intelligent indexing plan is the first step. The DocFinity indexing solution itself delivers the flexible and simple mechanisms to execute the plan successfully.

DocFinity eases the indexing process with built-in features such as lookup lists, validation, and dropdown lists to allow for automation in the indexing process. You can define an indexing scheme to suit your business needs.

Indexing features within DocFinity include:

  • Create pointer—Used to create a virtual copy of the current document, which is added to the batch for indexing.

  • Blind entry fields—Used for entering secure information. These fields show asterisks rather than the actual data. Data must be entered twice to confirm validity.

  • Date fields—Fields that accept only a date. Manually enter the date or use the date picker.

  • Required fields—Fields that must be filled before the document can be indexed. These are marked by an asterisk.

  • Drop down lists—Allow users to select data from a preconfigured list.

  • Validated fields—data entered in these fields are checked for validity against pre-configured criteria.
