The Need

As the marketplace evolves and counter-based scanners become accessible even to smaller organizations, businesses are looking for ways to take advantage of the speed benefits of scanning technology in place of data entry. Scanning is one of the fastest ways for many organizations—particularly those that constantly interact with customers—to quickly import and index information. Whether organizations have to process customer information at a counter, scan receiving invoices or receipts on site, process volumes of the same types of documents, or address other scanning needs, they recognize that it is often essential to get documents into administrative systems as quickly as possible. Unfortunately, the complexity of scanning technology often prohibits organizations from taking advantage of the benefits that it offers.

The DocFinity® Solution

DocFinity QuickScan simplifies the scanning process for end users, enabling easy scanning, uniform indexing, and quick importation of single and grouped documents. Behind-the-scenes configuration gives QuickScan the ability to index documents automatically; alternatively, information can be sent either to a repository or to a batch for indexing at a later time. Its configuration can be set up either to require end user authentication or to offer immediate access. Since it requires little training, QuickScan is ideal for users with limited technical proficiency or for areas where employee turnover is high.

QuickScan facilitates high volume scanning of information with great speed and accuracy while ensuring nearly error-proof use. Every action can be configured to a hot key to further increase processing abilities. QuickScan offers blank image detection; furthermore, if a LAN failure should occur, it is caught and displayed to the user. QuickScan is configurable to a site’s specific need, eliminating the need for programming.

“OIT’s professional services group listened to us and got to understand our business needs. They created a new module—DocFinity QuickScan—that was based entirely on our specifications. Now, students can walk up to any counter, hand an ID to a staff member, and have it scanned and immediately returned. Information is automatically imported on site, significantly reducing the need for data entry. We have distributed scanning across all four campuses.”
